Finalizing 2-billion medical gloves order with Japanese customers only after ten days of using VIETGO services

SHI International Trading Co., Ltd. is a domestic trading company, specializing in exporting masks, gloves, tissues to major markets such as Japan and Europe. The company was founded by Mr. T. The service package launched on October 23, 2020. Right at the beginning of this service, Vietgo celebrated this occasion by sending him nine orders. With his expertise in exporting goods to the Japanese market, Mr. T. Ngo immediately selected the most suitable orders to approach customers. He shared that his way of the offering was to send an email first to show professionalism and seriousness. Then, he contacted his customers immediately through the social media channels that customers use.
During the goods presentation process, Mr. T. Ngo had to collect many pictures of the products & factories, and related documents on the company’s export portfolio to gain the customers’ trust. These are fundamental factors for the customers to decide if they should choose Mr. T. Ngo to become the supplier for this contract. During the COVID pandemic, many medical gloves suppliers tend to become “arrogant” and provide poor customer service, always requiring the clients to show goodwill and send documents (Letter of Intent, financial statement) before officially cooperating. Some suppliers even argue directly with the clients as the transaction did not go as planned.
Mr. T. Ngo also shared that although the client showed serious intention, it did not mean that the closing process of a contract dealing process would go smoothly. Even for Japanese customers – who come from a big market and come with high expectations in terms of the product quality, the seller can not whoop the price up, receive a high profit, which can eventually affect the product distribution capacity. As for pricing issues, the two parties spent one week working intensively and exchanged feedback and information daily. The price was raised, lowered, and considered carefully before reaching a final agreement.

The Proforma Invoice for 1000 boxes of medical gloves, arriving at Tokyo’s port, was signed and confirmed by Mr. T. Ngo, only after ten days of launching the VIETGO’s Export Opportunities package, from one of the very first free orders.
Even after officially signing the contract, it does not mean that the contract has been successfully implemented. During the export process, Vietgo has witnessed many cases that customers do not deposit after signing the contract, or customers have made a deposit, however, the supplier is unable to meet the deadline or to deliver goods. These situations happen due to source unavailability, and then, the suppliers must return money to customers. Generally speaking, we understand that the risk in the transaction can come from any party.

Understanding this, Mr. T. has been very focused on his shipment, doing everything to ensure his supplier's goods fulfill their commitments, working closely with the forwarder, making sure the goods are delivered on time. The shipment was successfully delivered on 11/27. Currently, customers in Japan have received goods and have positive feedback on product quality, promising to renew larger contracts in the future.

With Vietgo's support, after the first successful transaction, Mr. T. shared with the Customer Care staff some tips to work with Japanese customers. He said that one needs to be meticulous, honest, and trustworthy in the customers' eyes. As the Japanese people are all about punctuality and accuracy in every little thing, you always have to constantly inform, report, and communicate since missing an appointment can mean losing an important and potential customer.
Besides, the supplier's personality is probably also a fundamental factor in the success of this transaction.
